Society Hisaab ("we", "our", "us") provides a digital platform for housing societies to manage accounting, payments, and administration.
When you use our platform, you trust us with your data. We treat this responsibility with care, transparency, and restraint.
This policy explains: what data we collect; why we collect it; how we use and protect it; and what control you have.
We operate in alignment with the Information Technology Act, 2000 and the SPDI Rules, 2011.
1. Introduction
This policy explains how we handle personal data when you use Society Hisaab.
It should be read together with the preamble above.
2. Information We Collect
We follow a data minimization principle — only collecting what is necessary.
Resident / User Information
We collect basic identity and contact details required to operate the platform:
- Name
- Mobile number
- Email address
- Flat / Unit number
- Role (Resident / Tenant / Admin)
Optional Information
Depending on society configuration:
- Block / Tower / Wing
- Flat type
- Area (sq. ft.)
- Profile photo
Financial & Transaction Data
To enable accounting and payments:
- Maintenance dues
- Payment status and history
- Transaction references
Important: We do not store sensitive financial details such as card numbers or banking credentials. Payments are processed through third-party payment service providers, and transaction data may be shared with such providers solely for processing payments.
Device & Usage Data
Collected automatically to improve reliability and performance:
- IP address
- Device type and operating system
- App usage logs and interactions
Society-Provided Data
In some cases, your society (RWA) may provide member data to initialize records.
Guest / Visitor Information
For security and access control, limited visitor data may be collected:
- Name
- Mobile number (if required)
- Flat being visited
- Entry and exit time
- Purpose of visit (optional)
3. How Information is Collected
We collect information in two primary ways:

Directly from You
When you:
- Register or update your profile
- Make payments
- Interact with society features
Automatically through the Platform
When you use the App:
- Device and log data are captured
- Cookies or similar technologies may be used for analytics and performance
4. Purpose of Data Processing
Your data is used strictly to operate and improve the platform.
Key purposes include:
- Managing society records and member directories
- Enabling billing, payments, and reconciliation
- Sending reminders, alerts, and updates
- Facilitating visitor access workflows based on resident or administrator inputs
- Improving product performance and usability
- Ensuring system security and fraud prevention
- Complying with legal and regulatory requirements
We do not use data beyond what is necessary for these purposes.
5. Advertising & Responsible Monetization
To sustain, operate, and continuously improve Society Hisaab, we may display in-app offers, service recommendations, or marketing communications that are relevant to residential communities.
Our approach follows industry-standard practices used by trusted platforms, while maintaining a strong privacy-first stance:
- No Sale of Personal Data — Your personal information (such as name, phone number, email, or flat details) is never sold to third parties.
- Limited & Responsible Use of Data — We may use certain user information (such as app usage patterns, society-level context, or interaction history) to provide relevant communications, recommendations, or offers within the App or through permitted channels.
- No Sensitive Profiling — We do not use financial data, private communications, or sensitive personal information for advertising or marketing purposes.
- Personalization with Safeguards — Any personalization is designed to remain non-intrusive and proportionate, focusing on improving relevance rather than profiling individuals in depth.
- Aggregated & Anonymized Insights — We may use aggregated or anonymized data to: improve relevance of offers; understand usage trends; and enhance overall service quality.
- Carefully Selected Partners — Where applicable, we may work with trusted partners to present relevant services (e.g., home services, utilities), without sharing personally identifiable information unless explicitly consented by you.
- User Control & Choice — You may manage communication preferences (such as notifications) within the App. Certain essential service communications may still be sent.
- Respect for User Experience — All communications and in-app content are designed to be minimal, relevant, and aligned with community needs, avoiding disruption or excessive messaging.
Our goal is to ensure that any monetization remains transparent, respectful, and aligned with user expectations in a residential community environment. No personally identifiable information is shared with advertisers or partners without explicit user consent.
6. Legal Basis for Processing
In accordance with applicable Indian law:
- Data is collected with your consent
- Processing is limited to lawful purposes connected to service delivery
- Reasonable security practices are followed as required under law
- Users have the right to review and correct their data

You remain in control of your data.

- Request deletion of your data (subject to legal and society constraints)
- Withdraw consent, where applicable
Requests can be made through the App or via contact details below. Deletion requests may be subject to obligations of the Direct Customer (society/RWA) and applicable legal requirements.
8. Sharing of Information & Disclosures
We do not sell or rent your personal data.
We may share data only in limited situations:
Within Your Society
- Authorized administrators (RWA / committee members)
- Access is limited to operational needs
With Trusted Service Providers
Used strictly for platform functionality:
- Payment gateways
- Cloud infrastructure
- Communication services
All partners are bound by strict confidentiality obligations.
For Legal Compliance
Data may be disclosed if required by:
- Law or regulation
- Court or government authority
With Your Consent
Where additional services require it, we will ask for explicit consent.
9. Data Security Practices
We implement industry-standard safeguards to protect your data:
- Encryption of data in transit and at rest
- Secure infrastructure and firewalls
- Role-based access control
- Monitoring and periodic security reviews
While we implement reasonable security practices, we do not guarantee absolute security of data and shall not be liable for unauthorized access beyond our reasonable control.
10. Account, Data Retention & Deletion

Financial and audit records may be retained for up to 7 years where applicable under Indian law and society accounting requirements.
We aim to acknowledge deletion requests within 7 business days.
Deletion requests are processed securely across active and backup systems.
How to request account or data deletion
To request removal of your account and personal data:
- Visit https://societyhisaab.co.in/delete-account for step-by-step instructions.
- Email tattvatechlabs@gmail.com with the subject line "Account Deletion Request — Society Hisaab". Include your registered mobile number, email (if any), society name, and flat number.
- Ask your society administrator (RWA / committee) to remove you from the society on Society Hisaab.
- Use the contact form at https://societyhisaab.co.in and state that you are requesting account or data deletion.
How accounts are removed on the platform
- Society administrators can remove a resident’s access and resident profile for their society.
- When a housing society is fully removed from the platform by Society Hisaab (super administrator), login accounts that belong only to that society are permanently deleted along with associated resident records.
- If you are linked to more than one society, removing one society removes only that society’s data; your login account is kept for your other societies.
What is deleted
- Your login account (when you have no remaining society memberships)
- Name, email, and phone number linked to your account
- Resident profile, flat linkage, and society-specific data
- Push notification tokens and active sessions
What may be retained
Some records may be kept after removal where required by your society or by law:
- Maintenance bills, payment receipts, and ledger entries already recorded for the society
- Financial transaction references for tax, audit, or fraud prevention
- Anonymized usage statistics that cannot identify you
11. Guest & Visitor Data Handling
Visitor management is designed with security and restraint.
- Data is collected only for entry management and safety
- Entry may require resident approval
- Access is limited to authorized security personnel and administrators
We ensure: no commercial use of guest data; no advertising or marketing use; limited retention based on society policy or legal needs.
The Company does not independently verify the identity or background of visitors. Visitor data is recorded based on inputs provided by residents, security personnel, or administrators.
12. Role of Society Administrators (RWA)
Society administrators play an important role in data governance.
They:
- Act as operational data controllers at the society level
- Provide and manage member data
- Access data for administration and security purposes
They are expected to maintain confidentiality and use data only for official society functions.
The society / RWA acts as the primary data controller for resident and visitor data, while the Company acts as a data processor providing technological infrastructure.

- Continued use of the platform implies acceptance of updates
